Acceptable use policy: using AI tools ===================================== An addition to [Organization name]’s acceptable use policy. Replace the words in square brackets. 1. Approved tools. Use only the AI tools on the approved list kept by [role]. Use your work account for work, never a personal one. 2. What never goes in. Do not enter personal information about the people we serve, supporters, volunteers or staff; health, case or safeguarding information; passwords, keys or financial account details; or confidential documents. If in doubt, leave it out and ask [role]. 3. You are responsible for the output. Check facts, figures, names, quotes and references against the original source before you use anything an AI tool produces. Never send AI output to a client, funder or partner without reading and correcting it. 4. No decisions about people. Do not use AI tools to decide or recommend who receives services, funding, jobs or volunteering roles. A person makes those decisions. 5. Accessibility and fairness. Check AI-written text, translations, image descriptions and captions before publishing, and watch for stereotypes. Always offer people a way to reach a person. 6. Be open about it. Tell readers when AI tools drafted material they may rely on, where [Organization name] has decided this matters. 7. Report mistakes quickly. If you entered something you should not have, tell [role] the same day so it can be dealt with. 8. Review. [Role] reviews this section and the approved list every [period], and when a tool’s terms change.
